What Fail List is
One inspect–price–prove loop on a single Asset id. Not a door-only app.
What does Fail List do?
Fail List is a UK site-work OS: survey → fail list → priced quote from defects → evidenced job.
Every photo, defect, quote line, job and completion event stays on an Asset id. Quotes are generated from inspection defects. Jobs only close when the required evidence is on the asset.
We record that a named person installed a named system with evidence. The software does not certify a door or a seal.
Can we keep using WhatsApp and Excel?
You can, but that is the failure mode Fail List is built to replace. Photos in WhatsApp and fail lists in spreadsheets break the chain from defect to priced quote to evidenced close-out.
The happy path is inspect in Fail List, generate the quote from the fail list, and close the job with the photos the remedy requires.
Is it only for fire doors?
No. Day-one asset kinds cover fire doors, fire stopping, compartments and other site jobs.
We are not inventing extra classes (dampers, alarms and so on) until fire doors, fire stopping and pricing work end to end.
Getting started
How do I start?
Create an account at faillist.co.uk, then create your organisation. The first person becomes the owner and can invite the team.
Add a client and project, upload a drawing, pin assets, run a survey, generate a quote from defects, then create a job.
Is there a demo login?
Yes. Demo Fire Ltd / Block C is seeded for walkthroughs.
Owner: demo.owner@faillist.test — Operative: demo.operative@faillist.test — Client viewer: demo.client@faillist.test. Password for all three: DemoFire1!
Operative and client viewers must not see cost. If they can, that is a bug.
How do I install Fail List on a phone?
Add it to your home screen from the browser — no App Store or Play Store step.

Trade, Survey and Estate views
Same organisation and database. Three views for three jobs — not three products to buy.
What are Trade, Survey and Estate?
Trade is the contractor view: fail list → quotes → jobs and money.
Survey is the on-site view: scan QR, run checklists, capture fails and photos.
Estate is the client / estate register: same assets and fail list, with costs hidden. Client viewers are forced onto this view.
Switch the view from Home or Settings when your role allows it. The Estate billing plan name is separate from the Estate view.
Can a client see prices?
No. Client viewers and estate admins stay on the Estate view with no sell or cost figures.
Share the living register or a client-safe quote share when you want them to see status and evidence without rates.
On site without signal
Interim playbook until a full offline photo queue ships.
What works when there is no signal?
Open the survey or asset while you still have signal. After that, pass / fail / observe answers can queue on that phone if the connection drops.
When signal returns, Fail List sends the queued checks automatically. Stay on the same phone and do not clear site data until they sync.
Do photos work offline?
Not yet. Fail and observe still need an evidence photo uploaded to the asset. There is no offline photo queue.
If the basement is dark: shoot camera-roll backups, note the asset QR or label, then attach and save at the next hotspot or 4G pocket.
What should we avoid on a no-signal day?
Do not switch phones mid-survey before checks have synced.
Do not clear browser or app storage while a “no signal” note is showing.
Do not treat WhatsApp as the photo store — every fail still has to land on the Asset id in Fail List.
Assets, drawings and QR
Why does everything need an Asset id?
So the pin on the drawing, the fail, the quote line, the job and the completion photos cannot drift apart.
If it is not on an Asset id, it is not in the living register.
How do drawings and pins work?
Upload a PDF drawing on the project, then place pins with normalised x/y coordinates (0–1).
Pins open the asset. That is how the survey and the register stay tied to the floor plate.
How do QR codes work on site?
Each asset can be opened by scanning its QR (or sticker). Prefer HTTPS asset links on site.
Use Scan QR from the app, open the asset in front of you, then run the checklist.
Surveys, fail list and quotes
Where does the fail list come from?
From survey defects — fail or observe with the evidence the check needs. That list is what you price.
Typing a quote from scratch is not the happy path.
Where are sell prices set?
In Quote rates (/app/rates), also linked from Settings. Rates sit on the organisation.
When you generate a quote, it copies those figures. Issued quotes stay frozen if you change a card later.
How do linear metres and m² get onto a quote?
Capture quantity on the fail when the remedy needs it (for example fire stopping per m²).
The quote line uses that quantity with your rate card — do not retype it into Excel.
Jobs and evidence
When can a job be closed?
Only when the evidence set defined on the remedy is present on the asset. There is no “mark complete” without the required photos.
That is deliberate. A closed job without proof is not a handover.
What do we hand to the client?
The living register — CSV or PDF — of assets, status and evidence, not a zip of random photos.
Use the Estate view or a client share so they see the same Asset ids without costs.
Billing and plans
Who is billed?
The contractor organisation. We do not charge per door, per penetration or per quote.
Pilot is free to start. Crew (£99/month, up to 10 people) and Company (£249/month, up to 40 people) are card subscriptions. Annual 10 months for 12 is available. Estate is custom invoicing.
How do I change plan or cancel?
An owner or admin opens billing from Settings and uses the Stripe Customer Portal for Crew or Company.
Estate stays on invoice — email hello@faillist.co.uk. VAT is not added at checkout until we say otherwise on Pricing.
Is the Estate plan the same as the Estate view?
No. The Estate view is the client/register skin inside any organisation.
The Estate plan is invoiced SaaS for housing, FM or a buyer who needs procurement / many viewer seats.
People and roles
Who can see costs?
Roles that quote and manage money can see sell and cost. Operatives and client viewers must not.
Invite people from the team page. Keep owner and admin access tight.
Where is the company letterhead for PDFs?
Settings → company details. Logo, address and VAT line are shared across the organisation for customer PDFs.
